Who we are The Department of Oceanography is one of several departments in the College of Geosciences at Texas A & M University. The Department of Oceanography is part of an alliance of Ocean Sciences at Texas A & M that spans the Marine Biology and Marine Sciences Departments at TAMU Galveston, GERG, IODP, and Texas SeaGrant. This alliance of Ocean Sciences represents a truly unique concentration of educational and research resources. Our educational and research capacity is greatly enhanced by close ties to the College Departments of Atmospheric Sciences, Geography, and Geology & Geophysics, as well as the Berg Hughes Center and Texas Center for Climate Studies. What we want The Business Associate II wihtin the Department of Oceanography is responsible for providing office support to an active research group by purchasing, organizing and maintaining office resources and supplies, organizing research award documents, assisting group personnel with travel documentation, serving as point of contact for group communication and web presence, and liaison to other College business elements. Required Education and Experience: - High School graduation or any equivalent combination of education and experience - Four years of related experience in general office, bookkeeping or personnel operations Required Knowledge, Skills, and Abilities: - Knowledge of word processing and spreadsheet applications - Interpersonal and communication skills - Planning and organizational skills - Ability to multitask and work cooperatively with others Preferred Education and Experience: - Associate's degree in Business or Accounting Preferred Licenses and Certifications: - Valid Texas Driver's License Preferred Knowledge, Skills, and Abilities: - Knowledge of google sites, team drives, and electronic file management - Knowledge of Workday and AggieBuy management systems - Proficiency with Microsoft Office software (MSWord, Excel Spreadsheet) and Adobe Acrobat Pro software Responsibilities: - Maintains research group property records, as the research group proctor, and is responsible for annual inventory verification - Serves as the research group contact for telecommunication, key, and office space needs - Maintains research group files (paper and digital): proposals, awards, requisitions - Assists with research group faculty and senior research departmental, college, university, and external committee work: schedule, organization, paperwork - Act as receptionist for group (telephone and email) - Maintains aesthetics of research suite and kitchen area - Coordinates group's directory information for the group - Maintains group bulletin boards for posting and presentation - Processes all mail and packages, and maintains and edits existing group websites and web presence - For Group faculty, staff, and students (Graduate, undergraduate, interns) prepares and/or processes all travel vouchers for all funding agencies, as well as enters and maintains pertinent information in the appropriate account system(s) for all of the funding agencies - Verifies travel records are in place and approves travel agency purchases and ensures travel reimbursements are in compliance with state and University guidelines and regulations - Assists with departmental and group visitor travel arrangement preparations, and presentations - Manages and organizes schedule of visitors - Prepares and/or processes all purchases on TAMU, TEES, TAES, Research Foundation, Sponsored Research Services, and A & M Foundation accounts in conjunction with the Purchasing department and department personnel - Responds to inquiries from department personnel, vendors, agencies, and FMO regarding purchases, requisitions, and travel - Resolves problems with voucher processing or payments - Performs monthly reconciliations of departmental accounts - Maintains group credit cards - Requests reimbursements from various agencies for repayment and reconciles group's accounts to assure all payments are received - Processes expenditures or routes documents to appropriate organization for processing on grant related business activities - Acts as point of contact with Oceanography Business Administrator and Academic Advisor with preparation of documents, records, etc. relating to student fee administration, course monitoring, and other academic documents and GERG Business Administrator for research related documents and supporting materials - Performs other duties as assigned Instructions to Applicants: Applications received by Texas A & M University and TAMHSC, must either have all job application data entered or a resume attached.
