Reports To: Human Resources SpecialistProgram Description: This position is responsible for handling front office reception and administrative duties as well as assisting Human Resources with day to day tasks. Day to day tasks include: greeting guests, answering phones, handling company inquiries, retrieving mail, assisting with marketing tasks, and performing HR duties as needed.Essential Job Functions:Essential job functions represent the fundamental job duties of the employment position the individual holding the position must be capable of performing. The Director or his/her designee may assign other duties and accountabilities limited to those consistent with the applicable scope of the appropriate professional job function.Front Desk Responsibilities - 30% Maintains front desk clean and supplied with all the necessary equipment Greets and communicates with guests Maintains and organizes the supply areas Answers incoming calls, directs them Retrieves mail ; delivers FedEx, UPS, and USPS outgoing packages Assists with filing and organization of documents Assists with preparation for meetings (ordering food; providing refreshments) Coordinates office celebratory eventsHuman Resources Responsibilities - 50% Assists in review of candidates for employment Assists in prospective employee due diligence such as references and background checks, Assists in employee candidate phone screenings Assists in coordinating and facilitating new employee orientation Educates employees on relevant policies and procedures Assists employees with day to day human resource questions by executing actions in a manner consistent with policies and procedures Assists staff with questions related to policies and procedures Ensures benefit plan documents, summary plan descriptions, booklets and information brochures are accurate and current prior to disseminationMarketing Responsibilities and Employee Apparel Management - 20% Maintains the marketing inventory and sends and receives items Assists Marketing with shipping items for trade shows Organizes and places apparel and uniform orders Assists in the distributing of apparel and uniforms to current and new employeesQualification Requirements:To perform this job successfully, an individual must be able to perform each essential function satisfactorily. Ability to speak effectively with others. Ability to present formal information in one-on-one and small group situations to management and/or other employees. Ability to present information and respond to questions from managers and/or employees.Temperament:Flexibility and coping with change. Multitasking. Ability to maintain composure in a stressful environment. Freedom to work from supervision. Performance under tight deadline.Other Abilities: Must be able to make decisions and recommendations Must be able to execute interpersonal, communication and organizational skills Must be able to exhibit a high level of confidentiality Must be able to identify and resolve problems in a timely manner Must be able to gather and analyze information skillfully
