  • Bachelors degree or equivalent combination of education and experience
  • Four years of experience in office administrationRequired Knowledge, Skills and Abilities:

    • Execute planning and organizational skillsPreferred Education and Experience:
      • Masters degree in applicable field
      • Six years of experience in office administrationResponsibilities:
        • Administrative - Provide advanced and professional assistance for the Associate Dean of Faculty Affairs and the Associate Dean for Diversity, Equity, and Inclusion in the College of Education and Human Development. Maintain high-level interactions with the department, college, and university communities, and assists with highly confidential academic administrative matters of critical importance to the college. Draft and manage correspondence and communications, schedule appointments, manage calendar, and coordinate travel. Coordinate business and meeting arrangements for the Associate Deans and gather information for reimbursement. Develop, review, and communicates administrative policies, procedures, standards, and methods. Coordinate and monitor action items and assignments made by the administrator. Compile reports, and maintain records and other documents. Researches, compiles, and applies information, making evaluative judgments on appropriate data to use. Evaluate documents submitted for the administrators signature. Provide support for long-range planning and scheduling activities. Create and update protocols for Faculty Affairs and Organizational Development and Diversity Initiatives Office (updated yearly). Create workflows and monitor sponsorship requests. Collect data from previous years and comparing them to the current budget. Assists the Office of Organizational Development and Diversity Initiatives in completing the colleges accountability report.
        • Faculty Affairs - Coordinate faculty annual reviews, promotion and tenure (P&T), mid-term review, and post-term review processes, for the entire college, exercising independent judgment with various constituencies including the Dean of Faculties, individual faculty members, and department heads, and department heads assistants. Organize and coordinate workshops to help faculty in completing packets. Review all P&T, and midterm review packets and works with department heads assistants and individual faculty to make the required corrections before college committee and the deans reviews. Provide training to department head assistance and acts as the point of contact when questions arise on process and procedures. Review Dean of Faculties guidelines and procedures to create timelines and documents to be sent out to departments. Aid departments in faculty hiring from start to end. Review memos and offer letters for accuracy before arriving at the associate dean. Create hiring procedures and trains departments on the use of a new faculty hiring system. Aid in the search/hiring of college-level leadership, directors, and fellowships. Update the Faculty Affairs website as needed, and updates faculty directory.
        • Award Programming - Organize the award processes for the college and university faculty awards. Send out a call for nominations, reviews packet, collects ballots, and finalizes votes. Update award website once winners have been announced.
        • Office Management - Manage the Office of the Associate Dean for Faculty Affairs and the Associate Dean for Diversity and Inclusion. Manages the resolution of complex, highly sensitive, and confidential administrative matters. Coordinate and monitor action items. Assist in providing solutions to recurring or unusual administrative problems within the offices of the associate deans. Provide administrative support to two Associate Deans. Maintain daily calendars for both Associate Deans. Hold monthly meetings with Department Heads Assistants. Provide assistance to the dean and the deans assistant as needed. Serve as back up to the deans assistant when necessary. Supervise and coordinate activities for graduate assistants.
        • Events - Plan and coordinate meetings, events, workshops, distinguished lecture series, and specialized activities throughout the year for the Office of Faculty Affairs and the Office of Organizational Development and Diversity Initiatives. Work with the Director of Faculty Development to coordinate high-level speakers for the spring and fall semesters. Collect data post events to analyze and provide feedback to the Associate Dean. Provide support for college-wide events, meetings or other special functions.
