What we want

The Vet Med Small Animal Medicine & Surgery department is looking for a Study Logistics Manager who, under direction from the Chief Veterinary Officer, is responsible for logistics of the program, as well as internal protocols for team members and external instructions for dogs enrolled in the Dog Aging Project. The ideal candidate will have a strong understanding of logistics and operations principles and have extensive hands-on experience with sample collection and processing. Required Education and Experience:


  • Bachelor's degree or equivalent combination of education and experience
  • Five years of related experience in program management including related supervisory experience

    Required Knowledge, Skills, and Abilities:

    • Knowledge of word processing and spreadsheet applications
    • Effective verbal and written communication skills
    • Strong interpersonal, leadership, problem solving, and organizational skills
    • Maintains attention to detail and utilizes sound judgment
    • Ability to multitask and work cooperatively with others

      Preferred Education and Experience:

      • Bachelor's degree in logistics, operations, veterinary, medical, or scientific fields
      • Extensive hands-on experience with sample collection and processing
      • Experience with multi-center, multi-PI research program

        Preferred Knowledge, Skills, and Abilities:

        • Strong understanding of logistics and operations principles
        • Understanding of veterinary science and technology
        • Knowledge of word processing and spreadsheet applications
        • Working knowledge of RedCap or other clinical data management systems
        • Effective verbal and written communication skills, with ability to present information clearly and concisely
        • Ability to engender trust and work cooperatively with others
        • Attention to detail and sound judgment
        • Strong organizational skills with ability to parallel process
        • Strong interpersonal, supervisory and leadership skills

          Other Factors:

          • This position will be based out of the College of Veterinary Medicine but will be separate from the college. This position is funded from grant and/or contract funding which is renewed under the provisions of the grantor of the contract. The current grant and/or contract funding is through 06/30/2023. The position, therefore, is contingent upon continuation of funding of these grants and/or contracts and satisfactory job performance.

            Responsibilities:

            • Works with the Study Subject Manager and Clinical Data Manager to develop client and veterinarian instructional and recording materials for phenotypic metrics and sample collection
            • Assists the Chief Veterinary Officer with the development and creation of protocols, policies, and procedures
            • Oversees and ensures updates are communicated to staff and participants
            • Tracks and maintains protocol, policies, and procedures
            • Acts as a liaison with the Clinical Pathology partner and serves as a protocol supervisor for all sample collections including timing of collections, blood, urine, and feces volume to be collected, shipping and storage conditions, and accuracy of sample identification
            • Plans, organizes, directs and manages day-to-day activities regarding all sample collections
            • Responsible for project timelines, contracts process, annual budgets, and costs for the Recruitment Core of the Dog Aging Project
            • Maintains tracking mechanism of participation schedules (eg veterinary visits) for participant dogs and ensure compliance
            • Ensures that all samples needed for studies are collected and accounted for
            • Ensures that biological samples are collected, processed, identified, shipped, and analyzed correctly from the external study sites
            • Ensures consistent adherence to standardized procedures for sample collection and handling from study dogs
            • Develops, refines, and produces performance reports
            • Analyzes program statistics for reporting and tracking progress
            • Maintains program activity records and provide monthly progress reports
            • Maintains close communication with Clinical Trial Monitor
            • Manages resources and identify possible sources of resource expansion
            • Supervises graduate student assistants
            • Prepares vouchers, purchase orders, and requisition and coordinates with accounting personnel and other support staff
            • As needed, coordinates with administrative team members located at the University of Washington and vet schools around the country
            • Coordinates and plans travel to participating sites for Dog Aging Project for all core personnel
            • Supports effective two-way communications with participating owners and veterinarians
            • Performs other duties as assigned
