Glimpse of the Job
The Mathematics Department at Texas A&M University is seeking a
detail-oriented Administrative Associate to provide administrative
support, handle immigration paperwork, assist in event planning,
manage facilities, and offer staff support. Responsibilities
include supporting department heads, processing J-1 and other
immigration cases, organizing meetings and seminars, maintaining
administrative records, coordinating office assignments, and
providing backup support. If you are organized and proactive, we

Opportunities to Contribute
Performs word processing, spreadsheets, presentations, and data
management.
Composes and edits departmental correspondence, reports, and
presentations on departmental administrative webpages.
Assists with annual reporting via Interfolio Faculty 180.
Generates and collects faculty teaching and research reports
including personnel files.
Arranges tenure-track faculty in person interviews and travel
(15-25/year).
Processes J-1 immigration employment paperwork for visitors and
faculty.
Handles necessary paperwork for research positions (e.g., posting
form, 5VS, RPA form, matrix).
Backup for H-1B and permanent residency cases.
Maintains calendar, purchases, and restocks supplies.
Submits maintenance requests and coordinates faculty workstation
refresh.
Manages inventory and asset disposal.
Assigns office spaces and parking permits.
Provides building and room access.
Backup for Administrative Coordinator in Mathematics Teaching
Operations.'
Qualifications
High school graduation or an equivalent.
Four years of experience in general office or clerical work.
A well-qualified candidate will also possess
Knowledge of word processing, spreadsheet, and database
applications.
Strong verbal and written communication skills.
Strong interpersonal and organizational skills.
Ability to work with sensitive information and maintain
confidentiality.
Hourly Rate: $15.85 per hour
Schedule: This position may require you to work evenings or
weekends occasionally.
Export Control: This position will require export-control
authorization prior to starting employment.
