To learn more, please visit our website What we want The Administrative Coordinator I, supports the Central Administrative Office of the Department of Residence Life, which is responsible for providing assistance to campus guests and support for the staff and areas related to Assessment/ Research, Leadership, Academic Initiatives, and Case Management/Student Behavior and may serve as an assistant to several Senior Staff members. The Administrative Coordinator I is responsible for providing primary administrative support and manages the daily office operations for the areas related to Assessment/Research, Leadership, Academic Initiatives, and Case Management/Student Behavior. Required_Education_And_Experience * Bachelor's degree or any equivalent combination of education and experience * Two years of experience in office administration * Required_Knowledge,_Skills_And_Abilities * Working knowledge of spreadsheet, presentation and word processing software programs * Interpersonal and communication skills and ability to plan and organize effectively * Ability to multi-task and work cooperatively with others * May be required to work some nights or weekends for special events including but not limited to move-in, etc. * Preferred_Knowledge,_Skills,_And_Abilities * Working knowledge of Tableau, Qualtrics, Compass, and StarRez * Preferred_Licenses_And_Certifications * Certified Administrative Professional (CAP) * Responsibilities * Administrative Support - Provides administrative support for the staff and areas related to Assessment/Research, Leadership, Academic Initiatives, Case Management/Student Behavior, and, potentially, several Senior Staff members and supports the office operations of the Residence Life Central Office. Attends meetings, creates and provides agendas and staffing assistance to meetings, records and distributes meeting agendas and minutes. Gathers discussion items and topical materials for planning meetings related to the staff and areas related to Assessment/Research, Leadership, Academic Initiatives, and Case Management/Student Behavior with collaborating academic and campus partners. Creates, prepares, and updates presentations and communication materials for the area. Manages material for professional conference presentations, research publications, and assessment projects. Assists with compiling and analyzing program statistics; assists in the maintenance of program records and databases. Supports office recruitment, selection and on- boarding processes of support staff/student employee positions including the Department of Residence Life Research Team, Residential Housing Association, etc. Plans and provides logistical and administrative support for professional staff, meetings, events and activities, and professional conference attendance and presentations. Supports and schedules travel request forms and manages all Concur processes including travel expense reports for all professional conferences, academic field trips, speaking engagements, and advisor travel for student retreats as needed. Executes and maintains contracts for student retreats, academic field trips, transportation (buses and vans), food vendors, and programmatic event catering. Secures insurance for student retreat programs sponsored and led by the area. Coordinates purchases of office supplies, technology resources, and software. Serves as the primary point of contact as liaison for equipment and service contracts within the areas related to Assessment/Research, Leadership, Academic Initiatives, and Case Management/Student Behavior. Serves as a liaison for departmental equipment and aids with the inventory process. Maintains keys and placards for a portion of the staff and areas related to Assessment/Research, Leadership, Academic Initiatives, and Case Management/Student Behavior. Supports the full time staff in working with the Faculty Fellows Program as needed. Supports operations of the DRL Research Team as needed. Facilitates the mandated Referral process at the discretion of the Residential Support Coordinator or Assistant Director. * Analysis & Reporting - Creates summary reports for programs related to Assessment/Research, Leadership, Academic Initiatives, and Case Management/Student Behavior, measuring student learning and program success as requested. Supports efforts to develop questionnaires for purposes of conducting analysis on programs, customer satisfaction, and academic research for publication and presentation. Use databases to collect data and information focusing on retention, academic progress and achievement, or other areas related to the subunits functional areas. Serves as the liaison for all things related to StarRez for staff working with assessment/research, student behavior, and student leadership, including but not limited to: Reporting, Students of Concern, Resources, and Employment. * Budget & Financial Support - Monitors and accounts for the budget workbooks, including completion of orders and purchase authorizations. Differentiates accounts and subaccounts for accurate budget forecasting. Tracks student staff wages for the staff and areas related to Assessment/ Research, Leadership, Academic Initiatives, and Case Management/Student Behavior. Acts as the Assistant Director's delegate for signature authority as needed. Prepares expense statements and reports. Ensures grant compliance. Researches and recommends grant opportunities. Assists in the creation of budget proposals by analyzing appropriate data. Manage and maintain conduct files for conduct conferences heard by the department. * Communication - Develops and evaluates office procedures. Ensures adherence to developed office procedures and monitors office procedures to eliminate duplication of efforts and to streamline the flow of operations in collaboration with the other Administrative Coordinator for the staff and areas related to Assessment/Research, Leadership, Academic Initiatives, and Case Management/Student Behavior who works with the White Creek Community Center. Applies, interprets, and communicates University policies and procedures for the staff and areas related to Assessment/Research, Leadership, Academic Initiatives, and Case Management/Student Behavior and serves as a resource for such. Assists with the creation and design of original marketing pieces, documents, and materials for Living Learning Programs, academic support programs and activities, Community Learning Centers, and the staff and areas related to Assessment/Research, Leadership, Academic Initiatives, and Case Management/Student Behavior. Coordinates purchases of marketing items with the Creative Manager. Assures the confidentiality of mail, correspondence, and reports. Responds to non-routine information requests from customers and acts a resource to office and University guests. * Programming Support - Supports the Residential Student Support Coordinator in programmatic efforts to educate and support students regarding bias concerns, financial concerns, social integration,
