This position is responsible for providing administrative support to the Chief Finance Officer (CFO). This position is also responsible for providing customer service within the Texas Engineering Extension Service (TEEX) guidelines, Texas A University System policies, State and Federal laws. This position reports to the Chief Finance Officer.Required Qualifications:+ Bachelor's degree in accounting, financial, or related field from an accredited college or university (equivalency:will consider an Associate's degree with four years of general office experience or a High School Diploma/GED with six years of general office experience)+ Two years of general office experienceOther Requirements:+ Valid Driver's LicensePreferred Qualifications:+ Previous experience with TAMUS financial accounting+ Knowledge of the Texas HUB programPhysical Requirements:+ Ability to communicate orally and in writing+ Ability to travel independently to other and/or remote locations by driving and/or flying on commercial airlinesKnowledge, Skills, and Abilities:+ Strong organizational skills and attention to details+ Proficient knowledge of computers, including word processing, and spreadsheet applications.+ Ability to plan and lead group HUB meetings+ Ability to communicate with all levels of staff effectively+ Familiarity with financial management systemsEquipment:+ Standard office equipment: computer, keyboard, multifunctional printer, telephoneNotifications:+ This position is security-sensitive.+ This position may require up to 15% or more travel.+ This position requires compliance with TAMUS/TEEX Policies and Procedures.+ All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and Agency safety requirements.+ In accordance with the federal contractor vaccination mandate, successful applicants for this position must be fully vaccinated against COVID-19 as a condition of employment unless an approved medical or religious accommodation is in placeEssential Duties, Tasks, and Percentages: Coordinates and manages the agency HUB program - 50%:+ Compiles and submits monthly HUB report to TEEX management+ Compiles and submits monthly HUB report to the TAMU System HUB office+ Compiles and submits the semi-annual and annual HUB report to the State Compiles and submits TEEX: HUB Strategic Plan Progress Report and HUB Plan and Goal to the TAMU System HUB office+ Compiles and submits the State Use Exceptions Report to the Texas Procurement and Support Services (TPASS) on a monthly basis+ Attends & explains the HUB Subcontracting Plan to vendors at pre-bid meetings+ Reviews HUB Subcontracting Plans submitted from vendors+ Tracks HUB subcontracting expenditures+ Attends HUB Mentor/Protege meetings as scheduled+ Produces agendas and HUB minutes+ Attends, participates, and represents TEEX at State and System HUB Forums+ Attends and participates in the TPASS HUB Discussion workgroup meetings+ Serves as an active member of the HUB Outreach Subcommittee+ Serves as active member of the Texas Universities HUB Coordinators Alliance Central/Gulf Coast Chapter+ Leads the TEEX HUB Subcommittee; prepares agenda and produce minutes+ Assists divisions in researching qualified HUB certified vendors for procurement opportunities+ Schedules and hosts specialized HUB vendor forumsAdministrative Support for CFO - 35%:+ Provides administrative support to CFO+ Coordinates and performs purchase of Financial Services office supplies+ Maintains Financial Services TEEX Connect Intranet pages and document libraries+ Tracks and coordinates the replacement and purchase of Financial Services office equipment+ Coordinates financial services events and functionsBackup for creating and processing Admin A/P Vouchers -10%:+ Serves as backup for creating and processing Admin A/P vouchers in MasterpieceAdditional Financial Services Support- 5%:+ Assist others within Financial Services as neededOther Duties:+ Performs additional work duties as assigned+ As part of the TEEX's mission of providing training, developing practical solutions, and saving lives; this position could be required, if called upon, to deploy within the State of Texas as directed by this position's Division Director/HQ Department HeadAll positions are security-sensitive.
